Registrar Overview
The Registrar’s Office at Ponce Health Sciences University is dedicated to supporting students, administration, and faculty by managing academic records and coordinating essential services. Key responsibilities :
- Coordinate registration and enrollment procedures
- Offer orientation for Veterans Services and certifications
- Provide certifications of enrollment as required
- Evaluate student academic progress and manage graduation procedures, including diploma preparation
- Certify degrees and academic standing letters
- Certify enrollment documents for USMLE Part I and II
- Prepare, maintain, and distribute official transcripts
- Comply with FERPA policies regarding access to student academic records
- Provide orientation on institutional health insurance
Application for Graduation
Students planning to graduate must submit an Application for Graduation. Once you have completed and submitted this form, you will receive a confirmation email. It is essential to confirm your submission through this email to ensure that the Registrar’s Office receives your application. Timely submission and confirmation are crucial to complete the graduation process.
Transcripts
Transcripts are official records of a student’s academic history and can be requested by completing an order through the National Student Clearinghouse portal. Ponce Health Sciences University collaborates with the National Student Clearinghouse to provide a secure and efficient system for students to obtain their transcripts online. Requests are processed in the order they are received, with an expected turnaround time of 5-7 business days.
Official Transcripts
Must bear the school seal and will be sent directly to the institution specified in the request. Transcripts will not be provided to the applicant or a third party under any circumstances.
Personal Copies
Students requesting transcripts for personal use may receive them in person. If another individual is authorized to collect the transcript, they must present a written authorization from the student and proper identification. Personal copies will be labeled as a student copy.
Outstanding Debts
Transcripts will not be released if the student has any outstanding financial obligations to the university.
Certifications
The Registrar’s Office offers a range of certifications tailored to meet student needs, including Enrollment Verifications, Degree Verifications, and Academic Standing Letters. To order a certification, students must first complete the Certification Request Form, ensuring all required fields are accurately filled out. The completed form can be submitted via email to registrar@psm.edu or delivered in person to the PHSU Registrar’s Office. Each certification copy costs $15.00, and payment can be made through various methods.

VA Benefits Services
Ponce Health Sciences University is approved by the State Approving Agency to provide academic training under various GI Bill® programs, offering valuable educational benefits to veterans and their dependents. The GI Bill®—a registered trademark of the Department of Veterans Affairs (VA)—supports students by covering tuition, housing, training, and other education-related expenses. Eligible programs include the Montgomery GI Bill® Selected Reserve (Chapter 1606), Post-9/11 GI Bill® (Chapter 33), and Survivors’ and Dependents’ Educational Assistance (Chapter 35).
